Property Coordinator (1998)

We are looking for a new team member to join us as one of our Property Coordinators. You will be working as part of the team reporting to the Property Service Manager on a permanent employment basis.
- Working hours: 35 hours / Mon - Friday. With the introduction of Core Hours staff can work their 35 hours flexibly across Monday to Friday. Core hours are 10.00am - 15.00pm (please note this role may be required to provide office cover and therefore would be expected to demonstrate flexibility, and that hours required would stretch beyond the core hours, in order to provide that flexibility).
- You will be hybrid working from the South East hub in Horsham for a minimum of three days a week, and home working, with occasional travel to our London hub.
- This role is part of the administration team to support all requirements for Estates, Facilities, Property Projects, and Environment Teams.

The RSPCA Estates & Environment team provides services across the National society portfolio comprising a mixture of freehold and leasehold property:-
- 19 Animal centres
- 21 inspectorate offices
- 100+ residential housing units for current and retired employees
- Central hub offices in London and Horsham
- Other ancillary premises.
The Property Coordinator plays a vital role in supporting the RSPCA Estates and Environment teams, ensuring efficient operations and contributing to improvements through a "plan, do, review" approach. This role upholds the Society's values, prioritizing safety, compliance, and effective contractor management.
Working closely with the Property Service Manager and coordinating with Estates, Facilities and Environment colleagues, you will be responsible for:
- Helpdesk Service: Act as the first point of contact for staff, customers, visitors, managers, and tenants, delivering a professional and efficient service.
- Residential Properties: Support the management of the Society's residential portfolio to maintain value and oversee repairs and maintenance.
- Operational Properties: Manage emergency repairs, compliance, and routine maintenance to ensure properties remain fully functional.
- Supplier Performance: Monitor contractor performance, gather data, and contribute to improving efficiency through regular reviews.
- Data Management: Maintain accurate property records, including contracts, legal compliance, and budget/expenditure tracking.
- Property Database: Ensure all data is current and used effectively to enhance service delivery.
To support our wider RSPCA colleagues you will be available to provide office cover at the South East Hub in Horsham, and occasionally you may be asked to attend the London Hub.
- Ideally knowledge and experience in either facilities and property compliance management, or in a similar role such as a property helpdesk, or construction support roles.
- Someone who is proactively able to manage a task independently - keeping an overview of the work required, chasing contractors or suppliers to move work forward, following up by email or telephone to get appointments made or documentation supplied.
- A person able to independently plan the work tasks, and prioritise workload to meet deadlines.
- A competent user of IT, comfortable with using email, recording meeting minutes, type up procedures, and general IT filing functions.
- Someone who is comfortable working in a support function within a large organisation, and has the confidence to uphold health and safety, and statutory compliance, and deliver excellent customer service.
- A person who is able to demonstrate an ability to work collaboratively and with diplomacy across organisational teams, to reach the goals and ambitions of the organisation.
- They have, or are willing to learn, current health and safety knowledge and statutory compliance requirements.
- Experienced in handling: documentation checking, invoice payments, raising purchase order raising and general administration support duties.
- You would be trained as, or willing to be trained as, a fire warden and a first aider.
Successful candidates for certain RSPCA roles will need to undergo a Disclosure and Barring Service (DBS) check.
